About the Role

An exciting opportunity has arisen for an experienced Parts Sales Support Specialist to join a busy and growing spare parts team in Portsmouth.

This role is ideal for someone with experience in parts sales, technical parts support, order processing or customer service within a technical environment, who enjoys working with customers and has a genuine interest in machinery and parts.

You’ll support customers, dealers, engineers and internal teams by identifying the correct parts, preparing quotations, processing orders and ensuring enquiries are followed through to completion.

You’ll also have the opportunity to contribute to sales growth, stock planning and continuous improvement within the parts function.

Key Responsibilities

  • Handle customer, dealer and internal parts enquiries by telephone and email.
  • Identify the correct parts using machine details, electronic catalogues, manuals and technical drawings.
  • Check part numbers, supersessions, compatibility and suitable alternatives.
  • Provide accurate information on pricing, availability, lead times and delivery options.
  • Prepare accurate quotations and proactively follow up opportunities.
  • Process sales orders accurately through the ERP system.
  • Monitor outstanding orders, shipments and backorders, providing customers with regular updates.
  • Support returns, credits, shortages, damaged deliveries and warranty-related parts administration.
  • Follow up quotations, lost sales and agreed customer opportunities to support sales conversion.
  • Identify additional sales opportunities using customer, machine and sales history.
  • Support targeted sales of service kits, filters, wear parts and other relevant products.
  • Work closely with warehouse, service and sales teams to ensure orders are fulfilled accurately and on time.
  • Coordinate urgent requirements relating to breakdowns, planned maintenance and machine handovers.
  • Liaise with suppliers and external partners to resolve parts, availability and delivery queries.
  • Take ownership of customer enquiries and orders through to completion.
  • Produce accurate sales and operational reports covering sales, quotations, margins and backorders.
  • Maintain accurate customer, machine, pricing and parts information within ERP systems.
  • Support stock and replenishment reviews using sales history, demand and supplier lead times.
  • Assist with purchase-order and stock-adjustment proposals.
  • Monitor excess, slow-moving and obsolete stock and support agreed improvement actions.

Requirements/Previous Experience

  • Previous experience in parts sales, parts advising, sales support, order processing or technical customer service.
  • Experience within construction equipment, agricultural machinery, material handling, automotive, commercial vehicles or another technical parts environment is highly desirable.
  • Strong ability to identify parts using machine details, catalogues, manuals or technical drawings.
  • Excellent customer service and communication skills, with confidence dealing with customers by telephone and email.
  • Good commercial awareness, including pricing, discounts, gross margin and customer requirements.
  • Strong attention to detail and a highly organised approach to order processing.
  • Good Microsoft Excel and general IT skills, with the ability to work confidently with detailed sales and inventory information.
  • Experience with construction or heavy machinery parts, including excavators, wheel loaders or similar equipment, would be advantageous.
  • Knowledge of service parts, filters, engines, hydraulics, undercarriage, wear parts or ground-engaging tools would be beneficial.
  • A proactive, technically curious and commercially minded approach, with the ability to work calmly under pressure and take ownership of customer requirements.
