Grants Administrator Portsmouth Β£23,500 – Β£26,500 Permanent

About the Role

An excellent opportunity has arisen for an organised and proactive Grants Administrator to join a busy Grants team in Portsmouth.

Reporting to the Senior Grants Officer, you will provide high-quality administrative support across a range of grant programmes, helping to ensure applications and awards are processed efficiently and that applicants, stakeholders and beneficiaries receive a professional and responsive service.

This is a varied administrative position involving customer contact, database management, application processing, reporting and general coordination.

The successful candidate will be comfortable managing a range of tasks, maintaining accurate records and working to deadlines while providing a high level of customer service.

Key Responsibilities

As Grants Administrator, your responsibilities will include

  • Acting as an initial point of contact for grant applicants and potential applicants, responding to enquiries by telephone, email and face-to-face.
  • Monitoring and administering grant applications through online portals and internal grants management systems.
  • Maintaining accurate and up-to-date records, ensuring information is entered correctly and consistently.
  • Providing administrative support for grant-related workshops, events and stakeholder activities.
  • Assisting with the administration of individual grants, including preparing case files, correspondence and supporting documentation.
  • Organising meetings, preparing agendas and meeting papers, arranging hospitality and accurately recording minutes and decisions.
  • Producing reports and assisting with the preparation of statistics, data and graphical information using Microsoft Excel and other Microsoft Office 365 applications.
  • Developing and maintaining positive working relationships with internal and external stakeholders, including funded organisations and beneficiaries.
  • Supporting the wider Grants team with general administration and ensuring grant processes are delivered efficiently and effectively.
  • Ensuring enquiries and applications are dealt with promptly and professionally throughout the grant process.

About You

We are looking for an organised and detail-focused administrator who enjoys working with people and is confident managing a varied workload.

You will ideally have previous experience within an administrative or coordination position and be comfortable working with databases, Microsoft Office and detailed records.

The successful candidate will have

  • Previous experience in an administrative or coordination role.
  • Strong organisational skills with the ability to manage competing priorities and deadlines.
  • Excellent attention to detail and a high level of accuracy.
  • Confident written and verbal communication skills.
  • Good customer service skills and the ability to deal professionally with a range of enquiries.
  • Experience working with databases and Microsoft Office applications, particularly Excel.
  • Experience supporting meetings, preparing documentation and taking minutes would be advantageous.
  • The ability to handle sensitive or confidential information appropriately.
  • An understanding of, or genuine empathy with, the Armed Forces community and the support available to serving personnel, veterans and their families.
