Administrative Experience & Technical Proficiency:

  • Administrative work experience in a Higher Education setting
  • Proficient with Banner
  • Proficient with Adobe PDF generation
  • Proficient with EMS Room Booking Software

Job Specific Required Qualifications:

  • Associate’s degree and at least one (1) to three (3) years related work experience; OR Three (3) to five (5) years of administrative support experience, or an equivalent combination of relevant work experience
  • Strong interpersonal, verbal, and written communication skills
  • Demonstrated concern for meeting internal and external customer needs (co‑workers, students, general public)
  • Team player willing to collaborate, take direction, and lead as necessary
  • Proficient keyboarding/computer skills
  • Ability to learn, understand and use database and enterprise software programs such as Banner, Argos and EMS
  • Excellent planning, prioritisation, and organisational skills with strong attention to detail
  • Customer service experience
  • Ability to multi‑task
  • Ability to maintain a high level of confidentiality
  • Proficient with Google Workspace, MS Word and Excel, and Adobe
  • Adept at scheduling multiple calendars
  • Ability to work with and within diverse groups

Job Duties:

  • 30%: Perform administrative duties within the Office of the President, including scheduling, phone, and email correspondence; execute outreach to the campus community; facilitate travel arrangements; prepare financial documents such as Funds Requests and Purchase Orders.
  • 20%: Provide administrative support for large‑scale ceremonies and events planning and execution, including use of the room reservation system.
  • 10%: Maintain digital records and communication; update and retrieve digital files and documents; safeguard confidentiality of university administration by exercising discretion in communicating information to faculty, staff, students, and the various publics served by the university and in handling administrative records, rules, and similar confidential items.
  • 20%: Support the administrative work of the Chief of Staff and Director of Operations Administration; utilise Microsoft Office 365 to create documents, generate reports, and draft correspondence; manage Microsoft Teams and digital file sharing; serve as a flex admin to assist various areas of campus as needed.
  • 20%: Serve as a point of contact within the Office of the President, greeting visitors, and scheduling recurring meetings with internal and external parties; act as a liaison and goodwill ambassador with other departments; maintain office equipment, supply inventory, and the Office of the President common areas; report incidents to the physical plant and IT as needed.
