About the role
We are seeking an experienced Office Administrator on a part-time basis (16 hours per week), who combines strong administrative skills with hands-on facility management experience. This role ensures smooth office operations while maintaining a safe, efficient, and well-managed workplace environment.
Successful candidates must be able to manage time effectively and proactively as this is a fast-paced, varied role, where no two days are the same! You will work closely with our Executive Assistant supporting the smooth running of the Staines office.
Responsibilities
- Manage day-to-day office operations
- Order equipment & resources
- Liaise with IT
- Manage complaints
- Oversee office facilities ensuring compliance with health, safety, and environmental standards
- Coordinate maintenance, cleaning, AV, storage facility
- Oversee facility service vendors and negotiate contracts as needed
- Monitor and maintain inventory of office supplies and equipment
- Build strong relationships with internal teams and external service providers
- Act as the point of contact for ICT or other departments for access and system-related issues
Qualifications and skills
- Proven track record as an Office Administrator or Administrative Assistant, with exposure to facility management responsibilities
- Technical Skills: Proficiency in office management systems
- Facility Management Knowledge: Understanding of building operations, maintenance schedules, and vendor management
- Soft Skills: Excellent time management, organisational skills, and attention to detail
- Communication: Strong written and verbal communication skills for liaising with multiple stakeholders
- Problem-Solving: Ability to troubleshoot operational and facility-related issues effectively
