About the Role: We’re looking for a proactive and detail-driven Team Secretary to join our team on a 13-month maternity cover contract, starting in September 2025. Working closely with the Head of Operations, this is a varied and fast-paced role that spans finance support, contractor compliance, CRM management, and wider administrative duties. It’s a great opportunity to work in a collaborative environment within the recruitment industry.
The Ideal Candidate Will Have:
- Previous experience in an administrative or office support role, ideally within the recruitment or staffing sector.
- Good working knowledge of Microsoft Office 365 – particularly Excel; experience with CRMs and Xero systems is advantageous.
- Strong attention to detail and organisational skills, with a flexible, can-do attitude.
- Ability to multitask and remain calm under pressure.
- Professional communication skills, both written and verbal.
Key Responsibilities:
- Finance Support: Process contractor timesheets and invoices, including accurate entry into Xero. Generate client sales invoices. Track contractor payroll and timesheet data using Excel.
- Sales & Compliance Support: Maintain and update CRM records with client, contractor, and placement data. Issue contracts and extensions; manage onboarding and compliance checks (UK and Europe). Liaise with contractors on timesheets, compliance requirements, and general queries. Support consultants with tasks such as advertising jobs on LinkedIn and the company website, CV formatting and document preparation.
- Office & Admin Support: Manage shared mailboxes and respond to administrative queries. Assist with internal projects (e.g. marketing initiatives, website updates, intranet management). Support completion of client compliance questionnaires and tenders. Provide general ad-hoc administrative support as needed.
