We develop and engineer solutions and integrated services using data and knowledge-based insight across our customers’ dynamic floating and fixed physical infrastructure.

Acteon is looking to hire a Legal & Compliance Administrator on a full-time, permanent basis. Based at their facility in either London or Norwich, the Legal and Compliance Administrator will be responsible for managing and administering different parts of the company's compliance program and providing administrative assistance to the legal, ethics, and compliance team. This involves:

  • Managing the gift and entertainment register, helping the compliance team with travel and meeting plans.
  • Administering the compliance training program, assisting with KYC checks, and working with HR to perform compliance checks for new employees.
  • Keeping the compliance document library up to date, assisting with the Compliance Committee meetings, organizing compliance audits and reviews.
  • Addressing issues raised to the Acteon helpline and responding to support inquiries for Acteon’s compliance helpdesk.

Duties & Responsibilities

  • Managing the gift and entertainment register, providing reports on registry entries, and communicating with business lines on their activities involving gifts and entertainment.
  • Administration of the compliance training program, registrations into the online training platform, new training setup, and analysis of completion rates.
  • Working with HR to complete compliance checks for new hires.
  • Central point of contact for Acteon Group KYC checks.
  • Administration of the compliance document library to ensure policies and procedures are approved and reviewed in accordance with the periodic review timetable.
  • Scheduling of compliance audits and reviews with business lines.
  • Administration of issues reported to the Acteon helpline.
  • Managing support requests for Acteon’s compliance helpdesk, assigning tasks, and tracking progress of helpdesk tickets.
  • Maintain records of compliance actions, such as received complaints or results of investigations.
  • File due diligence reports from third-party providers and perform ‘red flag’ reviews for consideration by the compliance team.
  • Maintain business partner and logistics partner lists.
  • Management and maintenance of the Compliance Intranet site.
  • Provision of general administrative and executive support to the legal, ethics, and compliance team.

Requirements

  • Previous experience in a similar role.
  • Ability to manage and maintain records, schedules, and documents.
  • Ability to communicate effectively with business lines, HR, and the legal and compliance team.
  • Ability to analyze data, such as completion rates for compliance training and due diligence reports.
  • Ability to review and process approval requests, perform red flag reviews, and track the progress of helpdesk tickets.
  • Proficiency in using online training platforms, compliance helpdesk software, and intranet site management.
  • Ability to adapt to changing priorities and work on multiple tasks simultaneously.
  • Ability to ensure compliance issues are handled confidentially.
