The Student Activities department sits at the heart of Kent Students’ Union supporting an active and diverse student community with a wide range of opportunities, from joining a sports club or society to volunteering or fundraising. In 2024/25 we have over 250 student-led sports clubs and societies with nearly 9800 members. Our groups offer something for everyone from competing in the British Universities and College Sport (BUCS) league to learning about new faiths or cultures.

The post holder will have a central role within the Student Activities team with a responsibility for coaching, empowering and supporting student groups in the coordination of their activities. Working alongside other Student Activities Coordinators the post holder will be a key point of contact for our groups providing day-to-day support and responding to queries. The role will have specific responsibility for overseeing our community action and faith groups, our Raise and Give (RaG), as well as a mixture of other student groups and oversight of student group fundraising.

In addition to supporting a wide range of societies the post holder will also provide developmental support, assistance and in some cases leadership, of the delivery of key events throughout the year such as Welcome Fair, Welcome Back Fair and our Award Ceremonies.

This is a varied and exciting role that offers the opportunity to build strong relationships with students and contribute meaningfully to their development and success. We are looking for a team player with experience working with volunteers, who is can excellent communicator and can relate to and connect with people. They should have a strong understanding of good customer service practices and be able to manage competing priorities in a dynamic working environment.

Duties and Responsibilities

Operational Duties

  1. To endeavour to empower student leaders, to run their groups effectively, through the provision of training, advice information and support.
  2. To work with the Vice President Sports and Societies, and the Student Activities Manager to run events throughout the year that help to showcase, network and empower, such as Cultural Food Fest and our Awards Ceremonies.
  3. To develop and maintain appropriate systems and processes for all student group operations.
  4. To ensure the health and safety of our members through the completion of training, risk assessments, safety checks, inventories, event planning, and trips list in like with Kent Students\’ Union’s Health and Safety Policy.
  5. To support and empower student staff in giving excellent customer service to students. To help to grow their confidence and help them to develop skills.
  6. To ensure appropriate compliance with GDPR rules and regulations.
  7. To provide advice and guidance support to the Activities Network.
  8. To oversee student group fundraising processes and administrate charity donations.
  9. To support student leaders in the recruitment of volunteers and members and empower them with the provision of training, advice and information.
  10. To implement best practice in student volunteer management including, although not limited to, inducting and training, performance management and rewards and recognition of volunteers.
  11. To assist with the recruitment of student staff (where relevant) and manage the provision of training, shift allocations and work load.
  12. To effectively communicate individual, departmental and organisational goal to all people.
  13. To oversee and monitor the budgets of student groups, and ensuring that financial procedures are being adhered to.
  14. Oversee and manage the budgets of projects such as the Development Fund, Cultural Food Fest or Award Ceremonies.
  15. To follow financial systems and processes and ensure the Finance Department receives all relevant financial information promptly.
  16. To oversee the RaG financial procedures and oversee all fundraising donations, maintaining up to date records.
  17. To work with other coordinators and the Vice President Sports and Societies to allocate grants and funds as appropriate.
  18. To attend training sessions, and appropriate meetings as and when required by Kent Students\’ Union.
  19. To contribute to the positive image of Kent Students\’ Union with students, University and the local community.
  20. To lead by example and demonstrate a full understanding of the organisations’ democratic structures.
  21. To ensure systems are in place to reduce Kent Students\’ Union impact on the environment.
  22. To act as an ambassador for Kent Students\’ Union and show loyalty to the organisation, abiding by the Union’s Constitution, policies and procedures at all times.
  23. To undertake other tasks and responsibilities compatible with the level and nature of the post as required by your manager from time to time to support to achievement of Kent Students\’ Union’s plan.
