Physical Location: Kent Campus - Kent, OH

Salary:

Basic Function: Coordinate and reconcile fiscal activity and budgets for the College of Aeronautics and Engineering (CAE) and provide detailed reports and analyses. Assist Dean and staff with various tasks including event support, coordination of mailings, calendar coordination, purchasing, etc. Manage the reception area. Provide high level support functions to the Dean. Reports to Coordinator, Operations and Special Projects.

Examples of Duties: Duties/essential functions may include, but not be limited to, the following:

  • Coordinate and reconcile fiscal activity and budgets for the college to include detailed reports and analyses.
  • Provide administrative support to the Dean's suite.
  • Perform business support functions including purchasing, reconciliation of account indexes and purchasing card transactions.
  • Coordinate procurement of orders to include processing payments, identifying appropriate payment method, and reviewing for accuracy; assisting in researching and resolving discrepancies.
  • Investigate fiscal problems, reconcile solutions and prepare replies to account owners.
  • May supervise student employees, coordinate work assignments and oversee management of the front desk reception area.
  • Provide administrative support to CAE staff including event support, mailing coordination and execution.
  • Oversee the maintenance of all office supplies and coordination of conference space calendars.
  • Perform other related duties as assigned.

Minimum Qualifications: Bachelor’s degree from an accredited university or college in a relevant field of study and two years of administrative, financial or related experience. OR a minimum of seven years of progressive administrative, financial or related experience. Must be able to occasionally work a flexible schedule including evenings, weekends and holidays and additional hours during peak periods is required.

License/Certification:

Knowledge Of: Financial guidelines and the ability to reconcile/rectify problems and errors in a timely manner.

Skill In: Written, verbal and interpersonal communication with the ability to communicate effectively with all components of the university and external constituents. Implementing projects and assessment of program initiatives. Excellent customer service skills. Use of word processing, spreadsheet, database, and presentation/publishing software applications.

Ability To: Independently manage multiple projects, set priorities, resolve problems and make decisions in a timely manner. Work a flexible schedule including occasional evenings, weekends, holidays and additional hours during peak periods.

Preferred Qualifications: Knowledge of Banner and Microsoft Office. Experience working in higher education.
