We are seeking a part-time Receptionist/Administration Assistant to join our busy team at Priority House in Maidstone. The post is office-based and fulfils the function of Receptionist and Switchboard Operator, which involves lone working. You will have daily contact with patients, relatives and members of the public, and you will be required to manage the busy switchboard, answering and diverting numerous calls. Working 28.5 hours per week – Monday to Wednesday, and Friday 13:00–21:00, every other Saturday and Sunday 07:00–13:00.
You will work as a receptionist on the Main Unit Reception transferring calls to departments and making sure telephone numbers are up to date.
Responsibilities:- Report any issue or concern as they arise and provide administrative assistance to Site admin/site supervisor.
- On a daily basis do the franking of mail and sort letters into correct pigeon holes for services on site.
- Act as Receptionist/Admin Assistant during working hours.
- Provide a courteous reception service to all visitors/staff and patients to maintain the professional image of the Unit.
- Ensure smooth running of office equipment (photocopier, fax, shredder) and arrange a call out if unable to solve problems.
- Transfer calls to correct departments and update telephone numbers.
- Make sure the Doctor on call and security information for the site is up to date with correct numbers on a daily basis.
- Provide cover as necessary for colleagues during annual leave and sickness.
- Adhere to all Trust Policies and Procedures.
- Manage Health & Safety within own area of responsibility.
