The following post has become available within KMMH for a dynamic, self‑motivated, forward‑thinking Administration Assistant. The position will be within the Ashford & Canterbury administration team, based at Laurel House, Canterbury for 37.5 hours per week, and will provide full secretarial and administrative support to a multi‑disciplinary team. High‑quality admin services are vital for ensuring the smooth running of our service; you can expect your days to be full of variety and challenge.

Responsibilities:

  • Daily opening of post, date stamping and dispatch
  • Answering telephone calls
  • Data entry (e.g., inputting new referrals, results of tests or questionnaires)
  • Check relevant systems (e.g., RiO for clinic appointment lists)
  • Liaise with other internal departments
  • Photocopying
  • Preparation of variety of documents and correspondence
  • Printing information in spreadsheet or report format as required
  • Process confidential information
  • Laminating posters or reports and binding as appropriate
  • Booking appointments
  • Arranging meetings and events
  • Diary management
  • Ordering stationery and other supplies

The post holder must have a Grade C or above GCSE in Maths and English or equivalent and possess an NVQ Level 3/RSA3 or equivalent. Prior to interview you will be required to undertake numeracy, literacy and Trust values tests. The ideal candidate will be a team player with excellent organisational and keyboard skills, be a competent audio typist, and possess a good working knowledge of Microsoft Office packages. They will also pay close attention to detail, be able to work to tight deadlines, be adaptable to changing or challenging situations and able to manage and prioritise their own work efficiently.
