Legal Assistant – Maidenhead, SL6 3QQ
** We\’re Hiring: Legal Assistant**
Location: Remote
Hours: Monday – Friday 09:00-17:30
The role of the Legal Assistant involves providing comprehensive support to the Legal team. This includes distributing correspondence, allocating new matters to solicitors, tracking and managing the Legal budget, and controlling and updating Legal documents. The role also involves supporting borrower claims, managing small Legal projects, streamlining processes, and maintaining Legal management information.
Overall, Purpose of Job
- Distributing any post or email correspondence to the team, including indexing onto the customer\’s account in the relevant system;
- Allocating new matters to a solicitor either via High Q or email as appropriate;
- Tracking the Legal budget and managing all elements of Legal Finance within the department, including payment of invoices and charging of fees via Treasury;
- Controlling and updating all Legal documents in KMC\’s document management system (KAS) as requested by the Legal team or by the business;
- Supporting the management of borrower claims;.
- Managing small Legal Projects along with all associated governance;
- Offering solutions to streamline processes within the Legal department
- Collating and maintaining Legal management information requested across the business or from external stakeholders.
Key Accountabilities
- Support the Legal Team with day-to-day administrative tasks
- Track the Legal budget, raise purchase orders (PO\’s), receipt invoices against purchase orders and process payment. Communicate with KMC\’s Accounts Payable and keep records of all financial administration on the HighQ platform, including PO\’s, invoices, approvals & budgets.
- Liaise with third party accounts receivable contacts to ensure all invoices reference the correct special purpose vehicle or purchase order, ensuring payments can be approved and processed on time and within terms.
- Produce financial & business management information to assist with forecasting & budgeting.
- Assist the team in keeping accurate, up to date records of all current litigation cases and provide management information and reporting.
- Track Issued claims through to settlement and obtain approvals and process the settlement payment with our Treasury department.
- Assist with the updating, review and management of the approvals of all Legal documents that are held within the Marketing document management system, the Kensington Asset Store (KAS) to ensure Legal documentation is up to date, compliant and in line with any regulatory requirements.
Experience, Knowledge, Skills
- Knowledge of financial processes, including budgeting, forecasting, third party payment processes would be an advantage.
- Demonstrable experience in a similar role.
- Excellent written and verbal communication skills
- Strong organisational skills and ability to multitask
- Strong attention to detail
- Excellent time management & task prioritisation
- Proactive and able to use own initiative
- Strong working knowledge of Microsoft Office is essential
