Kennedys IT is looking for a highly organised, proactive, and detail-oriented Administrative Assistant to support the Chief Information Officer (CIO) and the IT Department. The successful candidate will provide comprehensive administrative support to ensure smooth and efficient operations within the IT department, contributing to its overall success. Team Kennedys IT is responsible for the maintenance of IT systems and security across the firm, including its portfolio of managed bespoke and off-the-shelf applications. This role will work across all IT functions and, in the case of broader projects, occasionally with other teams within the firm. The majority of the global IT team are in London and Chelmsford, although some staff are based in other UK and non-UK offices. As a team which provides truly global service, the team are used to working remotely.
Key responsibilities:
- Manage the CIO's calendar, schedule appointments, and coordinate meetings
- Prepare, edit, and format correspondence, reports, presentations, and other documents
- Handle incoming communications, including phone calls, emails, and mail, and respond or redirect as appropriate
- Schedule, organise, and coordinate IT department meetings, including preparing agendas, taking minutes, and following up on action items
- Coordinate internal and external events, such as training sessions, workshops, and conferences.
Required experience:
- Minimum of 2 years of experience in an administrative or assistant role, preferably within an IT department or legal environment
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT project management tools
- Basic understanding of IT concepts and terminology
- Discretion and the ability to handle confidential information with integrity
- Proactive, self-motivated, and able to work independently as well as part of a team
- Experience with budget management and financial reporting
- Knowledge of IT compliance and regulatory requirements
- Familiarity with legal industry software and systems.
