Kenna Recruitment has a new exciting opportunity for an experienced Administrator to join one of the UK's most well-known housebuilders out of their stunning office in Borehamwood, Hertfordshire.
Overview: To provide high-quality, flexible, and proactive administrative support across the business and wider Group departments, ensuring the smooth operation of key business functions. This role will deliver essential assistance to multiple teams—including Commercial, Planning, Production, and Sales & Marketing—while also supporting the Group and providing Reception cover as needed. The post holder will play a central role in coordinating documentation, meetings, communications, and systems support, contributing to the overall efficiency and professionalism of the organisation.
Core responsibilities:
- Provide day-to-day administrative support
- Provide Reception cover on a rota or ad hoc basis, ensuring a professional and welcoming front-of-house service
- Coordinate and book meetings, including diary management, room bookings, and attendee communications
- Prepare and distribute meeting agendas and minutes
- Produce, format, and proofread letters, reports, and formal documents
- Arrange couriers and manage outgoing/incoming post and mailings
- Maintain trackers (e.g., invoice logs, tender submissions, payments)
- Manage and respond to emails in shared inboxes
- Provide support with printing, laminating, and compiling presentation packs and materials
- Liaise with subcontractors, consultants, and suppliers as required
- Upload, download, and manage digital documentation and portal content
- Make enquiries and chase tender submissions with subcontractors and consultants
- Set up new subcontractors for payment, including issuing registration forms
- Combine and process applications, invoices, and payments across departments
- Assist with A-Site set-up and system-based order entry (e.g., Easybuild/COINS)
- Manage mail merges for community surveys and stakeholder letters
- Draft, format, and distribute formal letters and site communications
- Support the production of reports, forms, signage, and drawings for live sites
- Reformat and present key documentation (e.g., Project Execution Plans)
- Raise purchase orders and payment requests, maintaining invoice and PO trackers
- Support coordination of internal and public-facing events, including attendance where required
Experience:
- Housebuilding or related industry experience
- Experience with construction systems such as EasyBuild, COINS, or ASite
- Familiarity with planning or housing development processes
- Experience supporting senior leadership or executive teams
