Kenna Recruitment has a brand new exciting opportunity for an experienced Document Controller / Office Manager with Procore experience to join a new fit-out contractor in Central London. This will be a new position for the business where you will be able to have the flexibility to come in and set up new processes for the business to follow to improve the functions.
Overview:
As a Document Controller, you will provide a consistent and timely service to the development teams by ensuring that project information/drawings/documentation is managed, communicated, filed, and retrievable in accordance with the business\’s Electronic Document Management System (EDMS) Procore.
As this is a mixed role, you will also provide secretarial services to the project ensuring good quality administration with a proactive outlook anticipating management requirements, and an approachable and pleasant response to all, supporting contracts.
Specialists in CAT A & B commercial fit out using traditional and hybrid Detail & Build procurement methods.
Their main points are below:
- Coordinate all activities related to the document control procedure, including technical documents, drawings, and commercial correspondence.
- Input document data into standard registers ensuring that the information is accurate and up to date.
- Set up, collate, manage, and close out Operations and Maintenance Manuals along with other Handover Documentation.
- Make sure that controlled copies of the latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable.
- Maintain the documents and drawings in the document control office and sure they are under safe custody to avoid any damage or deterioration.
- Maintain the files and control logs as required by the project.
- Archive and keep up to date with all the latest drawings for the sub-contractors and sub-consultants.
- Assist Contracts Manager/Project Director where required.
- Printing, logging, and recording of all RAMS, Hot Work Permits and Permits to Work throughout the project.
- Induction records
- Ordering IT & arranging inductions for new employees
- Ensuring inductions, H&S plans, and First Aid/Fire Marshall posters are kept up to date.
- Collating monthly client reports / dashboards
- Preparing presentations and mark-ups for the site team
- CCS presentations & coming up with innovation ideas
- Maintaining PPE room and stock levels
- Creating and maintaining a variety of trackers
- Organising monthly team social events
- Ordering office supplies (stationary, coffee/tea, water, etc.)
Experience/Knowledge:
- Fit out contractor experience
- Construction based office / site experience
- Good level of Procore experience
