Do you have administration/office management experience? Due to continued growth in Scotland, we’re looking for a full‑time regional administrator. Based at our Glasgow office, you’ll play a key role in supporting the day‑to‑day running of the business.
What You’ll Need
- Experience working in an administrative and/or finance role (2+ years)
- Excellent customer service skills
- Previous experience within the BMS industry (preferable)
- Familiarity with Microsoft Office
- Highly organised personality
- A friendly ‘can‑do’ attitude
What You’ll Be Doing
- General administrative duties: answering phone, greeting visitors, ordering stationary, sending and receiving post, handling documents and paperwork
- Placing and processing purchase orders through SAGE construct system
- Invoicing (sales, maintenance visits and maintenance addition works)
- Approving supplier invoices and returning to head office
- Keeping orderbooks up to date
- Reacting to callouts and scheduling engineer’s diaries
- Posting engineer timesheets weekly
- Submitting engineer reports/quotes within an agreed timeframe
- Communication with customers (confirming visits etc.)
- Scheduling maintenance works and renewing maintenance contracts
- Check and log expenses on SAP Concur system
- Check and confirm overtime prior to submitting
- Submitting RAMS as required
- Assisting colleagues as required
- Processing holiday requests
