Do you have office management experience?
We’re looking for a full-time office manager. Based at our Glasgow office, you’ll support the operational and administrative functions of our business in Scotland. Here’s what we’re after in an ideal candidate.
What you’ll need
- Previous experience within the BMS Industry
- Familiarity with Microsoft Office
- Excellent customer service skills
- Organised approach
- A friendly ‘can-do’ attitude
What you’ll be doing
Small Works & Maintenance Coordination
- Coordinate and deliver small works from initiation to completion.
- Schedule planned preventative maintenance visits with clients.
- Attend internal labour planning meetings to support resource allocation.
- Provide progress updates for key account maintenance contracts.
- Maintain the maintenance contract tracker
- Coordinate timely renewals of PPM contracts.
- Complete Risk Assessments and Method Statements for maintenance and remedial works.
- Manage Permit to Work documentation for maintenance and remedial works.
Engineer Support & Documentation
- Review engineers report.
- Process and issue remedial quotes based on engineer’s findings.
- Finalise and send engineers reports to clients in a timely manner.
Client & Remote Support
- Triage incoming remote support requests and escalate appropriately.
- Triage engineer callouts based on urgency and availability.
- Respond to client enquiries and ensure high levels of service are maintained.
Administrative & Commercial Duties
- Maintain and update the Engineers Quote Tracker
- Roll forward order books and ensure data is accurate.
- Complete Pre-Qualification Questionnaires for prospective clients.
- Update and maintain pricing structures within the QEST system.
- Review Job Progress Reports
Inventory & Office Management
- Receive and log all incoming deliveries of BMS parts.
- Conduct regular stocktakes of office supplies and spare parts.
- Provide support and cover for the Regional Administrator as needed.
