About the Role: To provide effective coordination and administrative support across sales, PDI and machine preparation activities, ensuring that machines, parts and documentation are planned, processed and delivered accurately and on time. The role acts as a key interface between internal teams, suppliers and customers to support smooth operational flow, maintain system accuracy and contribute to efficient delivery, demonstration and handover of machines.
Key Responsibilities:
- Coordinate and administer IVA applications, bookings, and changes.
- Plan, book, and manage PDI activities, including liaison with chassis suppliers.
- Arrange third-party fitments and extras (e.g. cameras, remotes, reels).
- Prepare and issue customer quotations for sweepers and sewage tankers.
- Provide sales administration support, including demo, show machine and customer delivery preparation.
- Manage WIP activities, including job setup, tracking, and reporting.
- Coordinate machine movements, including 3rd party records, delivery reports and arrival/departure documentation.
- Prepare customer documentation, packs and delivery confirmations.
- Maintain internal systems and reporting tools (e.g. shared drives).
- Support warranty administration, damage reporting, and dispute resolution.
- Arrange cleaning, fuel logging and general machine readiness activities.
- Assist with departmental meetings, reporting, and cross-functional coordination.
- Effectively deal with all customer service enquiries, advising and actioning accordingly, with organised and effective follow ups, taking ownership of the problem from start to finish and be the first point of contact for customers.
