Duties for the Legal Assistant role involves:
- Providing estimates to new clients and following up within 24 hours.
- Carrying out ID checks and ensuring money laundering and GDPR regulations and policies are complied with.
- Assisting with and ensuring evidence of source of funds is dealt with as early as possible in a transaction.
- Advising and updating clients on a regular basis and keeping case management system up to date.
- Receiving and dealing with enquiries from clients over the telephone, via email exchange and face to face.
- Liaising with other firms of solicitors, estate agents, surveyors, mortgage lenders etc.
- Assisting with dealing with and responding to the daily post and emails.
- Assisting with arranging for appropriate letters and documents to be sent, ensuring relevant searches and management packs are ordered at the appropriate times within the necessary time frames, dealing with pre-contract enquiries and replies to pre-contract enquiries as appropriate, ordering redemption statements as appropriate, investigating and reporting on title to clients and mortgagees and dealing with any adverse matters revealed.
- Assisting with dealing with help to buy redemptions, help to buy mortgages, lifetime ISAs etc as appropriate.
- Assisting with reporting to clients on offers of finance and complying with instructions received from mortgage lenders.
- Assisting with dealing with requisitions on title, drafting contracts, transfers and any other relevant deeds.
- Dealing with post-exchange and post-completion administrative work.
- Preparing invoices and completion statements.
- Assisting with liaising with lenders regarding drawdown of funds etc.
- Ensuring that SDLT returns are submitted in a timely manner following completion.
- Ensuring that all help to buy documentation is completed in the timescales required and accurately.
- Ensuring all post completion work is dealt with in accordance with the firm’s policy.
- Ensuring all priority and bankruptcy searches are in place and do not expire.
- Ensuring AP1s are submitted in a timely matter and always before the expiry of any OS1/OS2.
- Ensuring all Land Registry requisitions are dealt with urgently and always before any cancellation date.
- Ensuring compliance with all requirements of the help to buy panels and lender panels.
What you will need for the Legal Assistant role:
- Previous Conveyancing experience or the desire to work in the conveyancing legal sector.
- Professional communication skills and approach to work.
- Be organised, a strong team player with a desire to learn.
- Flexible, trustworthy and approachable.
- Good IT skills.
- Ability to work to deadlines and prioritise work loads.
