We are looking for an Operations Co-ordinator to join our team at Keegans, an RSK Group company. We are open to this being a full-time or a part-time position. This is an exciting opportunity best suited to a motivated, organised and proactive individual. Keegans are an award-winning engineering consultancy based in the Blackfriars area of London. Our team has grown to around 30 staff and counting. We have positioned ourselves as an industry expert with international reach and are celebrating 25 years of expertise in 2026.
Our Operations Co-ordinator is a beating heart of our consulting, providing executive support to our elite team of Building Surveyors, Fire Engineers, Cost Consultants and more. We are looking for someone who can be that point of operational contact, report the new work effectively and assist the Operations Management team with their day-to-day.
Responsibilities
- Raise and log new enquiries and projects on Deltek PIM, set up project files, and keep Service Line Leads informed with reference numbers throughout.
- Assist the Operations Manager, Service Line Leads and Marketing Team in drafting fee proposals and tenders, and maintain fee templates, calculators and pricing matrices with the Operations Director.
- Monitor fee forecasts and PO limits, raise and issue client invoices, review subconsultant invoices, support debt resolution alongside the Finance Team.
- Assist in drafting QA procedures and process flow charts, conduct project audits, ensure documentation is correctly filed, and support corrective actions.
- Prepare agendas, attend and minute internal and client meetings, and manage project delivery administration and tracking.
- Maintain consultancy qualifications records/matric, provide general administrative support to the consultancy team and Operations Director, and contribute to process efficiency improvements.
Qualifications and Experience
- Proven experience in an administration/operations role.
- Highly organisation skills with the ability to prioritise workload effectively.
- Excellent standard of spoken and written English.
- A degree in Business Administration/Business Management is desirable.
