Role Specific Responsibilities
- Be the first point of contact for general HR and recruitment queries.
- Administer all key HR processes, including maintaining HR records, managing starters, leavers, contract changes, inductions, various types of leave, payroll processes, and recruitment.
- Provide routine advice to colleagues and managers on policies and procedures such as absence, annual leave, recruitment, probation, and payroll.
- Assist in developing and implementing process improvements for our people processes to enhance efficiency and effectiveness.
- Maintain the HR Hub (our intranet page) to ensure information is current and accessible.
- Assist in producing key reports related to KPIs, diversity, workforce monitoring, absence, and turnover data.
- Coordinate and generate reports from exit interviews and recruitment data.
- Work closely with our outsourced payroll bureau to ensure payroll routines are followed and payments are accurate and timely, complying with HMRC and contractual regulations.
- Administer the recruitment process using our Applicant Tracking System (ATS), guiding hiring managers and ensuring inclusive recruitment practices aligned with our values.
- Maintain accurate employee records securely, including HR, absence, and training records.
- Coordinate training sessions and events for colleagues and line managers, including inductions, staff meetings, and development days.
- Support the development and delivery of the people strategy to foster a supportive and developmental environment for our staff and student members.
- Take notes at meetings, including formal staff processes and other relevant meetings.
- Operate within KCLSU policies and external frameworks such as GDPR and Right to Work compliance.
- Collaborate effectively with colleagues across all levels and teams.
- Provide advice and guidance on processes and systems including HRIS, Payroll, and ATS.
- Offer technical support to optimize and troubleshoot our systems as needed.
