Key details about the role and the candidate
This is an exciting opportunity to join our payroll department at a time of growth and expansion. As a Trainee Payroll Coordinator, you will become part of a supportive team that is focused on delivering an accurate, timely and compliant payroll service while helping you build the knowledge and confidence to develop your career in payroll.
We are looking for someone who is enthusiastic, organised and keen to learn, with a strong eye for detail and a genuine interest in developing within a payroll environment. The ideal candidate will be proactive, reliable and comfortable working with confidential information, with good communication skills and a customer focused approach when supporting employees and colleagues.
You do not need to have previous payroll experience to apply, although administrative, customer service or systems experience would be beneficial. What matters most is that you are accurate, curious, adaptable and willing to take ownership of your learning as you gain practical experience across payroll processes, systems, compliance requirements and employee support.
We will provide in-house training and, following successful completion of your probationary period, support you through a CIPP qualification to help build your technical payroll capability. As the department continues to grow, there may also be opportunities to progress within the team in the future.
Primary responsibilities
- Assist with the preparation, input, checking and processing of accurate payroll data.
- Verify payroll information, identify discrepancies and support investigations or corrections.
- Support payroll reconciliations, checks, submissions and system testing activities.
- Respond to employee payroll queries professionally, escalating complex matters where required.
- Provide basic guidance on payslips, deductions and payroll processes.
- Maintain accurate, secure payroll records and support filing, document management and audit preparation.
- Support compliance with payroll legislation, company policies and data protection requirements.
- Handle employee information confidentially and deliver a high standard of customer service.
- Participate in training and develop knowledge of payroll legislation, taxation, National Insurance, pensions and statutory payments.
- Contribute to process improvement, team meetings and implementation of payroll process changes.
Experience
- Previous administrative or customer service experience.
- Experience using HR or payroll systems.
- Awareness of payroll processes or employment legislation.
Behaviour and Skills

- Good organisational and time management skills.
- Ability to handle confidential information appropriately.
- Strong communication and customer service skills.
- Willingness to learn and develop within a payroll environment.
- Proficient in Maths and English equivalent to L2 / GCSE Grade C, as minimum.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Working towards or interested in pursuing a payroll qualification (e.g., CIPP).
