Our client runs a busy, expanding taxi and passenger transportation business. The work covers both residential and commercial taxi fare work as well as contracted work for councils, local authorities, schools and medical providers such as hospitals. The drivers take passengers to work, airports, shops, education facilities, as well as to doctors' surgeries and hospitals. Often there are dedicated, licensed passenger assistants on board to look after patients or vulnerable passengers. The business is expanding and there are great growth prospects. This means an efficient, experienced Taxi Operations executive is now needed to take the volume of incoming calls and inquiries. You need to have relevant experience within a taxi firm to understand the terminology and requirements.
The Taxi Operations Executive will coordinate all the drivers and passenger requirements and run the booking system efficiently. They will also administer the day-to-day operations of the business. There are compliance requirements to be maintained and you will be checking drivers are insured, have up-to-date MOTs, have their cars serviced when required and have all the legal paperwork needed to be a licensed taxi/minicab driver. This position plays a crucial role in ensuring the smooth and efficient operation of the office environment. This position involves volume call handling as well as a variety of administrative and clerical tasks to support the overall functioning of the logistics and transportation of people.
Requirements:
- Provide administrative support to get vehicles from A to B efficiently and profitably.
- Coordinate and schedule appointments for drivers and transport managers.
- Organise rotas and schedules for pick-ups and delivery.
- Prepare quotes for new business and give prices.
- Assist in the preparation and distribution of internal and external communications.
- Take calls and distribute jobs appropriately to drivers.
- Oversee office organisation and co-ordinate staff rotas for 24x7 shifts.
- Manage office facilities, including liaising with service providers.
- Ensure all drivers and cars are compliant, legal and up to date.
- Check for current MOTs, drivers' licenses, insurance, car tax etc.
- Maintain accurate and up-to-date records, both electronic and physical.
- Assist in data entry, data analysis, and report generation as needed.
- Ensure that travel expenses are recorded and processed promptly.
- Assist in the onboarding process for new employees.
- Maintain employee records and assist with HR-related tasks.
Additional Requirements:
- Proficient in Microsoft Office Suite (Word, Outlook).
- Car owner & driver needed for this role for local client visits.
- Ideally from a relevant background of transport, logistics, parcels, minicabs, taxis.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal abilities.
- This is office based and may involve non-standard working hours initially.
