We have a new opportunity for a Project Support Officer to support the delivery of an extensive programme of work comprising of new build facilities and refurbishment to support current and future operations on the Client site. This position provides essential administrative support to the Project teams in relation to document management processes, project governance, information management and key interface activities.
Responsibilities:
- Maintain the SharePoint and Teams site ensuring file plan, document control and naming convention is followed in accordance policy and both are maintained and updated regularly, including team workstreams, diary and project documents.
- Manage the mailbox including monitoring and coordinating responses relating to the work of the team and distributing information and communications to both the team and key stakeholders.
- Co‑ordinate governance meetings, ensuring documents are prepared and circulated by agreed timeframes, producing actions and decisions (RoADs) and ensuring follow up actions are progressed and updated within the time frames.
- Support the development of project trackers, reporting dashboards, briefing presentations, process diagrams and organisational charts.
- Support the team with coordination of key administrative activities.
- Establish and maintain effective working relationships with colleagues, project teams and key stakeholders.
Requirements:
- Excellent administration skills and experience, preferably from a construction and engineering environment.
- Competent with Microsoft 365 packages including Project, PowerPoint, SharePoint and Teams.
Location: This position is hybrid with 2-3 days per week onsite. Your own transport is essential as the site is based in Helensburgh, Scotland.
Security Requirements: You must have, or be eligible for, SC clearance.
