Operations Administrator Location: Forfar, Angus Job Type: Temporary An excellent opportunity has arisen for an organised and proactive Operations Administrator to join a busy operations team within an established organisation supporting the energy and industrial services sector. This role would suit someone who enjoys working in a fast-paced environment, can confidently manage multiple priorities, and takes pride in keeping documentation, systems and operational processes accurate and up to date. The Role Working closely with the Operations and Workshop teams, the Operations Administrator will provide essential day-to-day administrative support across equipment movements, certification, work orders, sales orders and operational records. The successful candidate will be responsible for a varied workload, including: * Preparing delivery notes, equipment dispatch documentation and equipment return notes * Processing equipment rental returns and updating internal systems * Preparing work order job packs * Producing and maintaining equipment certification and certification packs * Updating certification registers, expiry dates and associated electronic records * Maintaining personnel training and competency records * Updating sales orders and equipment off-hire information * Liaising with third-party suppliers regarding equipment off-hire dates * Allocating equipment against sales orders * Preparing cargo and dispatch documentation * Reviewing and filing completed purchase orders * Completing general system data entry and maintaining accurate records * Updating customer and supplier portals relating to equipment dispatches and returns * Sending completed equipment return documentation to customers * Supporting asset disposal administration * Answering incoming telephone calls and directing enquiries professionally * Providing wider administrative support to other departments when required The Operations Administrator will also play an important part in maintaining high standards of health, safety, quality and environmental compliance, following established procedures and contributing positively to a strong safety culture. About the Candidate The ideal candidate will have previous administrative experience and be comfortable working in an environment where priorities can change quickly. They should demonstrate: * Strong organisational and time-management skills * Excellent attention to detail * The ability to manage several tasks simultaneously * Confidence working under pressure and to deadlines * Good problem-solving abilities * A professional telephone manner and good customer service skills * Confidence using Microsoft Outlook, Word and Excel * A collaborative approach and willingness to support colleagues * A positive attitude towards learning new systems and processes Previous experience using an ERP or operations management system such as Microsoft Dynamics NAV/Navision would be advantageous, although this is not essential.
