Live-out EA/PA - Oxfordshire

Brand new position for a private family in Oxfordshire seeking an experienced, highly organised and discreet Live-out EA/PA to provide high-level administrative, organisational and operational support to the family.

This is a varied and high-impact role suited to an experienced Executive Assistant / Personal Assistant with a background in operations, events, travel or a similarly fast-paced environment. The successful candidate will take ownership of complex family administration, coordinate the household team, manage family travel and budgets, and ensure the smooth and efficient organisation of the family's busy lives.

The ideal candidate will be intelligent, proactive and solutions-focused, with excellent initiative and the ability to anticipate needs, identify problems and resolve them independently. Exceptional attention to detail is essential, particularly when managing complex arrangements, multiple priorities and significant budgets.

Key Responsibilities

  • Provide comprehensive EA/PA support to the family, managing a wide range of personal, administrative and organisational matters.
  • Manage complex family diaries, appointments, commitments and schedules, ensuring everything is carefully coordinated and communicated.
  • Coordinate the household staff team, including the nanny, chef, gardener, cleaners, babysitters and other staff, ensuring effective communication, scheduling and collaboration.
  • Act as the key point of contact between the family and household staff, ensuring priorities are clearly communicated and followed through.
  • Manage family travel from start to finish, including researching and presenting options, booking flights, accommodation, transfers and activities, preparing detailed itineraries and providing ongoing support throughout trips.
  • Manage travel and other family expenditure responsibly, with the confidence and attention to detail required when handling significant budgets.
  • Manage household and family administration, correspondence and day-to-day organisation using Google Workspace.
  • Research and present well-considered options, recommendations and solutions, enabling the family to make informed decisions efficiently.
  • Coordinate family events, dinners, celebrations and other occasions, managing logistics, suppliers and guest arrangements as required.
  • Oversee administration relating to the children, including school communications, activities, holiday arrangements, childcare and wardrobes.
  • Maintain accurate records, budgets, schedules, supplier information and other family administration.
  • Manage multiple projects and competing priorities simultaneously, ensuring deadlines and commitments are met.
  • Anticipate the family's needs and proactively identify opportunities to improve organisation and efficiency.
  • Troubleshoot issues independently, taking ownership of finding practical and intelligent solutions without requiring constant direction.
  • Liaise confidently and discreetly with external suppliers, service providers, travel companies and other professionals on behalf of the family.
  • Handle sensitive and confidential information with complete discretion and professionalism.

Requirements

  • Proven experience as an Executive Assistant, Personal Assistant, Family PA or similar, ideally supporting a private individual, family, principal or within a family office environment.
  • A background in operations, events, travel or complex administration would be highly advantageous.
  • Degree educated.
  • Experience managing significant responsibility, complex logistics and ideally high-value travel or expenditure.
  • Exceptional organisational skills and meticulous attention to detail, with a strong ability to anticipate issues and avoid mistakes.
  • Highly proactive, with strong initiative and the ability to work independently.
  • Intelligent, resourceful and solutions-focused, with excellent judgement and the ability to solve problems independently.
  • Excellent written and spoken English.
  • Highly computer literate, with confidence using Google Workspace and other digital systems.
  • Excellent communication and interpersonal skills, with the confidence to coordinate a varied household team.
  • Calm and capable under pressure, with the ability to manage multiple competing priorities.
  • Discreet, trustworthy and professional, with an understanding of the confidentiality required when working for a private family.
  • Must live within easy commuting distance of Oxford/Banbury and be able to work from the estate office 2–3 days per week.
