We are looking for a highly organised and proactive Paralegal / Office Coordinator to support both the legal function and the general management of our growing UK office. This role is ideal for someone who enjoys being at the centre of operations acting as the office manager while bringing solid paralegal experience to support day-to-day legal work.
The position requires a hands-on, detail-oriented individual who is comfortable balancing legal support with broader organisational responsibilities, and who can take ownership of processes, coordination, and office management in a small but growing team.
WHAT DO WE EXPECT?- 3–6 years’ experience as a paralegal or in a similar legal support or office management role
- Proficiency in written and spoken English is a must.
- Experience in a law firm or in-house legal team preferred
- Strong organisational skills with experience in document management and process building
- Comfortable taking ownership in a small office environment
- Excellent communication and coordination skills across teams and locations
- High attention to detail and ability to manage multiple priorities
- Proficiency in Microsoft Office and document management systems
- Assist the Legal Manager with handling standard legal documents, agreements, and correspondence
- Support and track contract lifecycle processes, including version control and execution
- Coordinate and follow up on document execution and signing processes across UK and HQ stakeholders
- Maintain, organise, and continuously improve legal document systems and records
- Drive document organisation and systematisation across legal and related business workstreams
- Support compliance-related tasks and internal legal processes
- Coordinate with PAs, senior stakeholders, and HQ teams to ensure smooth workflows and timely approvals
- Organise and manage internal and external meetings, including scheduling, materials, and follow-ups
- Support the UK General Manager with meeting arrangements and ongoing administrative coordination
- Track, organise, and file invoices; follow up on approvals and support payment processes
- Assist with travel planning and logistics for team members where required
- Take ownership of the day-to-day running of the London office, ensuring smooth and efficient operations
- Oversee office setup, maintenance, and ongoing office services (suppliers, facilities, and general workplace needs)
- Coordinate logistics and operational matters between the London office and Istanbul headquarters
- Manage incoming and outgoing post and courier deliveries (including DHL), with tracking and proper distribution
- Arrange meeting rooms and manage on-site logistics for office activities and visitors
- Support team organisation and general office coordination
- Liaise with vendors, service providers, and building management as needed
- Support onboarding logistics and ensure office readiness for new joiners
- A high-ownership role at the centre of a growing UK office, working closely with both legal and senior management
- Direct exposure to in-house legal work, including contracts, processes, and cross-border coordination with headquarters
