Job Title: Executive Assistant / General Administrator – Nursing Homes
Job Type: Full-time / Office Based (No Remote Working Option)
Job Overview:
We are seeking a reliable and organised Executive Assistant/General Administrator to manage the day-to-day operations of our homes. This position involves overseeing administrative tasks, ensuring smooth communication among staff and residents, maintaining records, and supporting the overall well-being of residents and staff.
The ideal candidate will possess strong leadership, organisational, and problem-solving skills with a deep understanding of healthcare administration in a nursing home setting.
Key Responsibilities:
- Oversee and manage daily administrative operations, including staff scheduling, resident records, and facility reports.
- Coordinate communication between residents, families, staff, and external healthcare providers.
- Ensure compliance with regulatory requirements and maintain up-to-date knowledge of state and federal healthcare regulations.
- Handle and manage financial tasks, including budgeting, billing, and procurement.
- Assist in the recruitment, training, and supervision of administrative and support staff.
- Implement and maintain policies and procedures to ensure the quality of care for residents.
- Organize and manage resident admissions and discharges, ensuring proper documentation and coordination.
- Support management in planning and executing facility events, meetings, and training sessions.
- Monitor and maintain inventory of office supplies and medical equipment.
- Respond to resident and family inquiries and concerns in a timely and compassionate manner.
- Provide administrative support to management and other departments as needed.
Skills and Qualifications:
- Bachelor\’s degree in healthcare administration, business, or related field (or equivalent experience).
- Proven experience in an administrative role, preferably within the healthcare or nursing home sector.
- Familiarity with healthcare regulations and compliance standards.
- Strong organizational, multitasking, and time-management skills.
- Excellent communication skills, both verbal and written.
- Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and basic financial software.
- Ability to work well under pressure and handle sensitive information with confidentiality and professionalism.
- Compassionate, empathetic, and dedicated to improving the quality of life for residents.
Preferred Qualifications:
- Experience in a leadership or supervisory role.
- Knowledge of healthcare billing and insurance processing.
- Familiarity with long-term care or skilled nursing facility operations.
Working Conditions:
- Full-time position, with occasional evening and weekend hours as required.
- Work is typically performed in an office setting, but interaction with residents may be required.
