We are seeking a highly organised, proactive, and discreet Executive Assistant to support senior members of our Executive Committee. The Executive Assistant will work closely as a trusted partner with leadership to ensure smooth operations, assist in decision making and support in the management of key projects. The role demands a high degree of discretion, business acumen and the ability to prioritise in a fast-paced environment. An EA’s primary objective is to act as a gatekeeper and co-ordinator for the executive, making this role essential to the executive’s and the company’s overall success. This role requires exceptional communication skills, impeccable attention to detail, and the ability to manage multiple priorities in a fast-paced, dynamic environment.
Key Responsibilities:
- Manage complex calendars, including scheduling, prioritisation, and resolving conflicts for your C-suite leaders.
- Organise complex travel logistics, visas and itineraries, seeking support and guidance where needed from other stakeholders.
- Provide high-level administrative support, including meeting coordination, travel planning, and expense reporting.
- Screen and be responsive to emails/texts/phone calls, with contact outside normal business hours when required.
- Acting as the primary liaison between the C-suite and internal/external stakeholders, managing high volume and sensitive communication.
- Prepare, review, and manage highly confidential documents, reports, and presentations.
- Coordinate and support key executive meetings, including agenda preparation, minutes, and follow-ups.
- Manage communication on behalf of the executive, including emails, calls, and written correspondence.
- Track and assist with ongoing projects and initiatives, ensuring deadlines and deliverables are met.
- Anticipate the needs of the executive and proactively address potential issues.
- Maintain strict discretion and confidentiality regarding highly sensitive company, financial and personal information.
- Complete adhoc projects as assigned – such as personal events and/or family needs.
Required:
- Extensive experience as an Executive Assistant supporting C-level or senior executives in fast paced or corporate environments.
- Proven ability to manage complex calendars, travel logistics, and confidential information.
- Strong organizational and time management skills with the ability to prioritise effectively.
- Exceptional written and verbal communication skills.
- Superior multitasking and organisational abilities.
- The ability to anticipate needs and make decisions without constant supervision.
- Forward thinking and comfortable working in periods of constant change.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Teams, Slack).
- Professional demeanour with a high degree of discretion and emotional intelligence.
- Ability to function well in a high paced environment, performing additional duties as assigned by leadership and executives.
