Kangaroo Self Storage is one of the largest independent self-storage brands outside London with 15 sites across Scotland, the North of England and the Midlands. We support businesses, households and students by providing secure, quality, value-for-money self storage combined with excellent customer service. We are recruiting for a Property & Head Office Administrator to work out of either our Head Office in Haddington, Scotland or from our storage site's office in Altrincham, Greater Manchester. This is a busy role and will ensure the smooth running of the day-to-day business operations across the Kangaroo portfolio.
Responsibilities
- Provide administrative support to the Property and Head Office teams as required.
- Maintain property, maintenance and compliance records for all Kangaroo stores and associated company properties.
- Assist in coordinating and maintaining accurate records of the Facilities Manager’s movements, store visits and daily schedule to support efficient operational planning.
- Maintain accurate contractor and supplier records, including insurance and compliance documentation.
- Log, track and update maintenance requests and contractor work schedules.
- Coordinate and organise company travel arrangements, including train bookings, accommodation, car hire, taxis and meeting logistics for employees and management.
- Answer and manage the head office telephone line, directing calls and enquiries to the appropriate departments or individuals in a professional and timely manner.
- Support head office administration including ordering supplies, managing post, filing and document management.
- Assist with invoice processing, purchase orders and supplier administration where required.
- Support store teams with administrative queries and operational requests.
- Assist with onboarding administration for new stores, suppliers or operational projects.
- Prepare reports, spreadsheets and operational documentation as requested.
- Support communication between stores, contractors and head office teams.
- Ensure company records and filing systems are maintained accurately and efficiently.
- Help ensure compliance with company procedures, data protection requirements and operational policies.
- Undertake any professional development or administrative training as required by the company.
Qualifications & Experience
- Previous experience in an administrative role ideally with a property busy or facilities management team.
- Strong IT skills including Microsoft Office suite and a project management software tool.
- Strong organisational and multitasking skills.
- Excellent communication skills, both written and verbal.
- High attention to detail and accuracy.
- Ability to prioritise tasks and work to deadlines.
- Professional and approachable manner.
- Ability to work independently and as part of a team.
- Flexible and proactive attitude.
