Reporting to: Engineering Director / Factory Manager

Salary: £30,414 per annum

Hours: Monday - Friday 08:00am - 16:00pm

Main purpose of the role: To support the effective running of the Engineering and Operational functions of the business, splitting your time equally to help coordinate across multiple areas.

Job Responsibilities:

  • Engineering:
    • Supports the effective running of the engineering function through accurate coordination of labour, training, procurement, system administration, and communication.
    • Ensure the operations team have all the required paperwork ready pre-shift across all areas particularly technical, ops and planning.
    • Complete weekend in advance.
  • Shift Coordination & Labour Planning:
    • Organise shift cover for holidays, sickness, training, and unplanned absences.
    • Update and maintain the engineering shift rota in real time.
    • Communicate rota updates clearly to team leaders and engineers.
    • Track contract labour utilisation and associated spend.
  • Procurement & Financial Administration:
    • Raise purchase orders for parts, services, and consumables when required.
    • Liaise with suppliers regarding order status and documentation.
    • Support tracking spend for labour, parts, and project budgets.
  • Work Order & System Administration:
    • Support CMMS data accuracy and upkeep.
    • Generate reports and KPI data for meetings.
  • Communication & Coordination:
    • Liaise between engineers, TLs, contractors, and other departments when required.
    • Coordinate contractor access and documentation (RAMS, permits, inductions).
    • Communicate training schedules.
    • Update internal engineering communications when required.
  • Compliance & Record Keeping:
    • Maintain accurate training records.
  • Operations:
    • Ensure the operations team have all the required paperwork ready pre-shift across all areas particularly technical, ops and planning.
    • Complete weekend in advance.
    • Waste data management – ensure all waste data tickets are collected and input into database.
    • Agency cost management – Calculate and check all agency hours for operations, daily versus requirements and challenge when necessary.
    • Collate all invoices ready for sign off in a timely manner.
    • Ensure all operational scorecards are kept up to date (OEE, plantstats, service, daily units produced, production performance).
    • Any sheets required for operational input are printed in advance ready for ops.
    • Support the ops management team with holidays for team members and process leaders.
    • Ensure holidays are used within timeframe.
    • Training system – support the factory manager by keeping the training system/matrix up to date and uploading all training documents as and when required.
    • Highlight when training is expiring or due.
    • Stock management – update stock sheets as and when required, frozen stock sheets updates and communication with warehouse.
    • Control and issue of stationery and factory consumables.
    • Other tasks and administrative duties based on requirements as requested by the ops team.
  • Follow and uphold the company policies, procedures, and activities in place necessary to maintain the safety, quality, authenticity, and legality of the finished products manufactured and distributed for sale.

Job requirements:

  • IT skills particularly Excel, Word, ADP, CMMS platforms.
  • Extremely organised.

  • Strong organisational and planning skills.
  • Clear communication with technical and non-technical teams & the ability to challenge constructively.
  • Experience in scheduling or coordination.
