Our Paralegals play an important role in supporting our solicitors and ensuring that clients receive an efficient, professional and compassionate service. This role provides legal and administrative support to the relevant team while ensuring compliance with firm policies, regulatory requirements and the high standards expected at KJS. The role requires excellent organisational skills, attention to detail, professionalism and a commitment to exceptional client care.
Key Responsibilities
- Client Care & Administrative Support
- Provide professional and welcoming support to clients and visitors attending the office, ensuring an excellent first impression of the firm.
- Answer enquiries and client queries in a polite and courteous manner, ensuring messages are relayed promptly to the appropriate team member and appointments are accurately recorded.
- Support members of the team in meetings with new and existing clients both in person and via telephone as required.
- Assist the team in keeping clients updated on the progress of their matters, where appropriate and without providing legal advice.
- Ensure all time is recorded accurately and at the appropriate fee rate.
- Familiarise yourself with the firm’s Terms and Conditions, Client Care documentation and Money Laundering requirements.
- Open and upgrade client files and ensure that appropriate identification documents and signed client care documentation are obtained and stored correctly.
- Diarise key dates, court hearings and deadlines accurately and promptly, ensuring the Court Hearings Tracker is kept up to date.
- Assist the team in instructing Counsel for conferences and hearings and liaise with experts where required.
- Attend hearings or conferences with Counsel or members of the team where required and prepare accurate attendance notes.
- Draft correspondence and legal documents as required.
- Prepare Court Bundles for the Court and Counsel in accordance with court requirements.
- Work collaboratively with the team to ensure the office operates efficiently, including ensuring adequate stationery and office supplies are available.
- Assist with daily administrative duties such as franking post and ensuring it is ready for dispatch before collection each day.
- Take client payments when required and notify the Accounts Team promptly in accordance with firm procedures.
- Participate in marketing initiatives aimed at enhancing the profile and growth of the team and the KJS brand both locally and firm-wide.
- Help maintain an organised and professional office environment including tidy files, accurate filing systems and up-to-date calendars.
- Attend team meetings and other firm meetings as required.
- Ensure all individuals, including guests and clients, comply with KJS Health and Safety requirements while on the premises.
- Work collaboratively with the COLP, COFA, MLRO and MLCO, assisting with compliance requirements including file reviews, training needs and monitoring processes where required.

- Maintain strict confidentiality regarding all information relating to KJS, its directors, employees and clients.
- Perform duties faithfully and in accordance with the firm’s policies, procedures and professional standards.
- Follow all reasonable and lawful instructions from management.

- Carry out duties with professionalism, integrity and a commitment to providing excellent client service.
