Purpose
To provide professional, efficient and proactive administrative support to the Defined Benefits (DB) team, enabling effective delivery of business objectives. The role focuses on coordination of team administration, events, engagement activity, and governance support, acting as a central point of contact for DB team operational needs. The role supports the smooth running of DB team meetings, events, calendars and people-related administration, working closely with the Executive Assistant to the Managing Director for Defined Benefits and other internal stakeholders.
Key Responsibilities
- Provide administrative support for DB team meetings, including agenda preparation and coordination.
- Maintain accurate and up-to-date team administration records, including team lists, new joiners and leavers.
- Act as a first point of contact for general queries from the DB team, including catering for meetings, booking external venues and supporting off-sites.
- Coordinate training arrangements for the DB team, liaising with internal teams and external providers as required.
- Maintain the DB Corporate Calendar, ensuring key meetings, events and people activities are recorded correctly.
- Own and update team meeting trackers, including presentation slots to GEC / Board / GRCC / ERC spreadsheet, ensuring information is accurate and kept up to date.
- Assist in the planning and delivery of DB team-wide off-sites, including logistics, venues and materials.
- Support wider team engagement activities, helping to improve colleague experience and connection.
- Follow up on suggestions and feedback from the team, tracking actions and supporting progress where required.
- Process and manage expenses for SLT, ensuring compliance with Just policies and timely submission.
- Support Employee of the Quarter administration, including coordination, communication and record keeping.
- Assist with desk management activities for the DB team, supporting effective use of office space.
What We’re Looking For
- Experience in the Financial Services Sector, dealing with any of life insurers, banks and pensions schemes.
- High level of initiative and self-motivation.
- Adopt a confident, flexible, adaptable attitude to managing competing demands.
- Excellent interpersonal and communication skills both oral and written.
- Excellent IT skills including Outlook, Word, Excel, PowerPoint.
- Ability to liaise at all levels with excellent communication skills, in dealing with the most senior of internal and external contacts and exercising diplomacy and discretion at all times.
- Team player with a strong work ethic and ability to build relationships with a range of individuals.
- Experience in an administrative or assistant role, ideally within a corporate or professional services environment.
- Able to provide excellent administrative and organisational support with the ability to plan and prioritise.
- Ability to work on own initiative with a highly flexible attitude, whilst maintaining a high degree of confidentiality.
- Ability to work productively under pressure, whilst maintaining a calm and professional approach.
- Good time management and the ability to work flexibly to meet the needs of the business.
- Strong attention to detail.
