This facilitates collaboration and allows employees to maximise productivity whilst maintaining a healthy work/life balance.BackgroundThis role sits within the HR Strategy & Operations team, reporting into the HR Operations Manager, working alongside another HR Assistant. The Operations function provides essential operational and administrative support to employees and managers across the business. The role works closely with the HR Advisor in providing support across the wider team offering excellent exposure to all areas of the HR function with a focus on recruitment and L&D support.Working closely with the Operations team, Business Partners and specialist areas, the role provides proactive coordination and administrative support across all elements of HR Operations with a focus on recruitment, onboarding experience, and learning & development activities, ensuring a smooth and positive employee journey. It is well suited to someone with prior HR operations experience with an interest in developing further in the areas of recruitment and L&D.Key ResponsibilitiesRecruitment & OnboardingSupport recruitment campaigns, distribution of online assessments and employer branding initiatives when requiredSupport recruiter with creation of job postings and updating candidate details and statuses in Workday.Coordinate interview scheduling across multiple stakeholders via automated interview scheduling platform / co-ordination with Executive Assistants, including panel interviews and debrief meetings and associated room bookingsCoordinate the new joiner process, including preparing contracts, managing onboarding trackers and actions (first day emails, requests to input employee data, issuance of new joiner packs), carrying out vetting for new employee, creating employee files and ensuring accurate data entry into the HR System (Workday)Manage the efficient and timely onboarding of contingent workers into WorkdayDeliver new joiner inductionsMonitor probation periods and ensure timely completion of reviews by managers, escalating any concerns to HR Advisor, as requiredL&DProvide first-line guidance to employees and managers on all L&D queriesSupport HR leadership in the sourcing of L&D suppliers, and scheduling of coursesManage professional qualification requests and processing of requestsSupport coordination of events such as Insights week, Network events etcManage the processing of all L&D and recruitment related invoicesData Management & Payroll SupportAccurately input and maintain employee data across HR systems, ensuring completeness for new starters, leavers and internal movesWork closely with colleagues to ensure all records are updated accurately ahead of payroll deadlines, undertaking payroll input with appropriate oversightMaintain high-quality employee records, filing documentation appropriately in SharePointWorkday & Systems SupportAct as a point of contact for Workday queries, providing support to employees and the HR teamRun routine reports and support ongoing data quality, recognising when to escalate more complex configuration or troubleshooting needsIdentify opportunities to streamline repeatable processes and contribute to the development of templates and simple automation where appropriate.Additional SupportProvide cover for the other HR Assistant, primarily handling routine queries and escalating as neededSupport SMCR processes where required, including record-keeping, tracking attestations and maintaining accurate role dataSupport the processing of invoices across the wider HR teamContinuously look for opportunities for the HR team to become more agile, with a focus on streamlining operational processes to achieve efficiencies contributing to an exceptional candidate and employee experienceContribute to HR project work as requiredDesired Skills / ExperienceSome previous experience in an HR administration or operations role, ideally within a professional or regulated environmentPrevious experience within recruitment and L&D would be advantageousStrong organisational skills and proven ability to manage multiple activities while maintaining attention to detailAbility to prioritise effectively and work to tight deadlines, ensuring tasks are not droppedConfident in navigating HR systems; Workday experience is highly desirableExcellent written and verbal communication skills, with a professional and diplomatic approachStrong sense of ownership, with the judgement to know when to resolve issues independently and when to escalateProactive, solutions-focused mindset with an interest in refining processes and improving workflowCollaborative team player with the ability to build effective working relationships across HR and the wider businessThe successful candidate will:Take initiative and work proactively without requiring close supervisionDemonstrate reliability, ensuring commitments are delivered and actions are not overlookedBalance independence with sound judgement on when to seek supportMaintain a calm, professional approach, even when handling high volumes of operational activityAdditional Role DetailsThis role is subject to the Conduct Rules set by the FCA.Don’t meet every requirement?
