This is an exciting opportunity to join Jupiter’s well‑established Events Team, reporting to the Interim Head of Events. The team is responsible for Jupiter’s external client events and webcasts, and some internal staff events.
Key Responsibilities
- Deliver a broad programme of events, including proprietary fund updates, roadshows, conferences, third‑party and publisher events, and internal company‑wide events, in line with business objectives and brand standards.
- Manage events end‑to‑end, from initial briefing through to delivery and post‑event activity, as delegated by the Interim Head of Events.
- Source, brief, and manage venues and suppliers, negotiating costs and managing contracts in line with agreed budgets and compliance requirements.
- Coordinate event collateral, materials, and logistics to ensure timely and accurate delivery.
- Process payments and manage invoices, providing clear and timely operational and financial updates to the Interim Head of Events.
- Support and attend events across the UK and Europe, with occasional travel as required.
- Work collaboratively with wider Client Experience teams to ensure a consistent and high‑quality event experience.
- Build and maintain strong working relationships with internal stakeholders.
- Ensure all events are delivered in accordance with regulatory, compliance, and inducement requirements.
- Support the delivery of global events across multiple time zones, including occasional out‑of‑hours working, international travel, and the coordination of virtual events and webcasts.
Additional Responsibilities
- Coordinate guest list management, including managing late changes and updates.
- Act as a key point of contact for client, supplier, and venue queries.
- Prepare and organise event materials, including delegate packs, running sheets, and briefing notes for internal stakeholders and third parties.
- Manage event agendas and on‑the‑day logistics to ensure smooth execution.
- Coordinate submission of Fund Manager biographies, company profiles, presentation synopses, and learning objectives in line with compliance procedures.
- Organise event collateral, exhibition stands, branded materials, giveaways, and equipment hire.
- Coordinate catering arrangements, menus, and special requirements.
Desired Skills / Experience
- Proven experience in a similar Events Manager role, ideally within financial services or asset management.
- Working knowledge of regulatory and compliance requirements relating to corporate hospitality, gifts, and client attendance recording.
- Demonstrated ability to work collaboratively across multi‑functional and multi‑cultural teams in a global environment.
- Strong knowledge of UK and European venues, suppliers, and AV providers.
- Excellent organisational and planning skills, with the ability to manage multiple events concurrently and prioritise effectively.
- Strong interpersonal and communication skills, with confidence engaging a wide range of stakeholders.
- Proactive and self‑motivated, with the ability to take ownership and deliver events from concept to completion.
- Ability to perform effectively under pressure and within defined budgetary constraints.
- Flexible and adaptable, with willingness to work outside standard business hours to support international events.
- Strong IT skills, including Microsoft Office and Excel, with experience using CRM systems such as Salesforce and Marketo.
