This role plays a key part in delivering a responsive, professional, and compliant HR service across the business. Acting as the first point of contact for HR-related queries, the HR Administrator/Coordinator supports the full employee lifecycle and provides reliable advice on first-stage employee relations matters, while continuously improving HR processes and data oriented solutions.
Key Responsibilities- Register and onboard employees in line with company procedures
- Conduct security vetting, including ID checks, DBS applications, overseas checks, and references
- Prepare employment contracts, variations, and confirmation letters
- Process leavers and ensure accurate updates across HR systems
- Respond to HR queries from employees, managers, clients, and external partners
- Provide guidance to managers on HR best practice and first-stage ER matters
- Attend welfare, investigation, and disciplinary meetings in an advisory capacity, taking formal notes
- Manage sickness administration, medical certification, and liaise with payroll regarding SSP
- Maintain accurate employee records in line with GDPR requirements
- Produce regular HR reports (e.g. DBS, training, absence, turnover, length of service, visas)
- Maintain organisation charts and HR documentation
- Identify opportunities to improve HR processes, efficiency, and data accuracy
- Contribute to wider HR projects and initiatives
- Experience working in an HR administrative or HR operations role
- Strong interest in developing a career in Human Resources
- Essential knowledge of Spanish and/or Portuguese
- Confident working with sensitive and confidential information
- Organised, detail-oriented, and able to manage competing priorities
- Builds trusted relationships across all levels of the organisation
- Approachable and professional, with sound judgement and integrity
- Clear and confident communicator, both written and verbal
- Proactive, collaborative, and comfortable working independently when required
