We are looking for an experienced Insurance Virtual Assistant to support our client, a well-established financial services firm based in Manchester, UK, with their day-to-day insurance operations. This role is ideal for someone with a background in UK insurance or financial services, who is confident managing back-office tasks, client communications, and policy administration remotely.
Key Responsibilities- Manage calendars, client communications, and task scheduling for insurance advisers
- Support the onboarding process for new insurance clients
- Maintain and update CRM records with accurate policy and contact data
- Schedule client review calls and send pre/post-meeting documentation
- Assist with preparing, submitting, and tracking new insurance applications
- Liaise with UK insurance providers for quotes, follow-ups, and policy changes
- Prepare renewal notices and ensure timely policy updates
- Ensure all documentation complies with FCA and GDPR standards
- Keep clients informed on key policy changes, premium adjustments, and renewal dates
- Generate weekly/monthly reports on client pipeline, policy status, and renewal activity
- Coordinate between insurance advisers, compliance officers, and third-party providers
- Previous virtual assistant or admin experience in insurance or financial services
- Familiarity with UK life insurance, critical illness, income protection, or general insurance
- Experience with CRM tools (e.g., Salesforce, Acturis, HubSpot, or Intelliflo)
- Excellent written and verbal communication skills in English
- Strong attention to detail and the ability to work independently
