Our client seeks an experienced Facilities Manager / Portfolio Manager to oversee high‑quality building and estate services across a diverse portfolio of mixed‑use properties. The role ensures all landlord obligations and lease‑related service requirements are met while maintaining exceptional operational standards. You will manage the full spectrum of facilities management services independently and collaborate closely with the wider Property and Asset Management team. The position reports directly to the Head of Asset and Property Management. All portfolio properties are based around the M35, mainly Central London.
Key Responsibilities
- Operations & Site Management: Manage day‑to‑day operations across allocated properties. Conduct regular site and void inspections to meet statutory and insurance requirements. Maintain property standards, safety, and presentation. Act as the main facilities contact for tenants and resolve issues promptly.
- Contractor & Service Management: Manage contractor performance and ensure adherence to SLAs. Oversee hard and soft FM services (M&E, cleaning, security). Support tendering and procurement of service contracts. Maintain accurate contract records and service information.
- Budgeting & Service Charges: Assist with preparation of annual service charge budgets. Monitor operational spend and provide accurate reporting. Recommend maintenance and project works for future budgets. Review invoices, raise POs, and ensure correct cost allocation.
- Compliance, QHSE & Insurance: Ensure full statutory compliance across the portfolio. Coordinate statutory inspections, PPM, and reactive works. Close out H&S and insurance report actions. Review contractor RAMS where required.
- Collaboration & Operational Support: Hold monthly reviews with Asset Managers on site performance. Provide reports and updates to the wider business. Support capex projects, refurbishments, dilapidations, and commercialisation. Assist with acquisitions, disposals and due diligence. Review tenant fit‑out and alteration proposals. Liaise with insurers and loss adjusters on claims.
Person Specification
- Strong FM experience across multi‑site mixed‑use environments.
- Excellent communication and stakeholder management skills.
- Proactive, detail‑focused, and committed to H&S excellence.
- Skilled in contractor management and service charge processes.
- Proficient with Microsoft Office and reporting tools.
Qualifications
- IOSH, NEBOSH, IWFM or similar (or willingness to obtain).
- Valid driving licence and willingness to travel.
- Strong knowledge of statutory building compliance and H&S legislation.
