Receptionist
My client is seeking an experienced professional and organised Receptionist to join a growing Team based in Clacton on Sea, the role combines excellent client service with reception, administrative and facilities coordination responsibilities.
The successful Receptionist will contribute to the efficient operation of the Clacton office, including coordinate the facilities services , ensuring the office is maintained to a high standard.
You will take ownership of the day-to-day operational issues, identifying opportunities to improve processes .
- Reception Responsibilities
- Meet and greet clients, visitors, and guests in confident and professional manner
- Act as first point of contact for all visitors to the office
- Answer , screen and direct telephone calls appropriately
- Manage the reception inbox and respond to queries
- Manage meeting room bookings and ensure they are set up for appointments
- Maintaining the reception area, waiting room and meeting rooms
- Manage incoming and outgoing post
- Take credit card payments from clients
- Manage petty cash
- Facilities Reasonability’s
- Coordinate facilities services
- Arrange and oversee the maintenance of office equipment, building systems, alarms, and security equipment , liaising with contractors
- Monitor office facilities , external areas, waste, and recycling arrangements
- Manage office, stationery, and kitchen supplies , including purchasing and maintaining appropriate stock levels
- Attend site when contractors are carrying out works and maintain up-to date supplier and contract records
- Coordinate travel arrangements
Experience required
- Previous Receptionist experience , within a legal or professional services environment
- Strong interpersonal skills, with the ability to communicate effectively and build relationships with colleagues, clients, and suppliers
- Reliable , professional, and calm under pressure with the ability to meet deadlines
- Previous facilities coordination experience desirable
- Experience liaising with contractors and external suppliers desirable
