As a Business Assistant in International Consumer Banking, you will support senior executives in a dynamic, high-performing environment. You will help manage complex calendars, travel, expenses, and key communications, using sound judgment and discretion. You will partner closely with stakeholders across the firm to coordinate logistics, meetings, and business priorities. You will be a trusted point of contact who helps us stay organized, responsive, and well-prepared.

Job responsibilities:

  • Manage complex executive calendars, prioritizing meetings, calls, and stakeholder needs with strong judgment.
  • Coordinate senior internal and external meetings, conference calls, and leadership events (including offsites, town halls, and skip-level sessions).
  • Plan end-to-end travel, including logistics, itineraries, contingency options, and cost-aware routing within policy.
  • Partner with relevant teams to arrange local logistics and on-site coordination for visits and events.
  • Handle internal and external client interactions with professionalism, discretion, and timely follow-through.
  • Process travel and expense items accurately and on time, supporting policy compliance and complete documentation.
  • Liaise with business management and cross-functional partners to align schedules, deliverables, and approvals.
  • Prepare reports and routine tracking, and maintain accurate data entry in internal systems.
  • Anticipate changes in priorities and proactively adjust plans to keep leaders and stakeholders aligned.
  • Provide coverage for other assistants as needed, building strong working relationships across teams.
  • Support additional projects and training opportunities based on business needs and performance.

Required qualifications, capabilities, and skills:

  • Advanced years of experience supporting senior executives as an executive assistant or business assistant within the financial services industry.
  • Advanced years of experience managing complex calendars for senior leaders, including conflicting priorities and time-sensitive changes.
  • Advanced years of experience coordinating business travel, including detailed itineraries, logistics, and contingency planning.
  • Advanced years of experience processing travel and expense activities with strong attention to detail and policy adherence.
  • Demonstrated ability to handle confidential information with discretion and consistent professionalism.
  • Excellent written and verbal communication skills, with a polished executive presence.
  • Strong organizational and time management skills, including the ability to meet deadlines in a fast-paced setting.
  • Proven ability to work with limited direction, make sound decisions, and follow through with ownership.
  • Strong stakeholder management skills, including the ability to partner effectively across levels and functions.
  • Proficiency with Microsoft Office applications, including document, spreadsheet, and presentation tools.

  • Experience supporting multiple senior leaders simultaneously in a complex global organization.
  • Experience coordinating large leadership events, including multi-day offsites and senior governance meetings.
