The Media Operations Manager (Associate) supports the day-to-day operating rhythm of the media function by managing vendor processes, enabling accurate invoice processing, maintaining audit-ready records, executing established controls, and improving workflows and documentation. The role is essential to delivering effective media campaigns with strong governance, timely financial processing, and clear operational accountability.
Job Responsibilities
- Lead media vendor onboarding, due diligence coordination, contract administration updates, performance tracking, renewals, and terminations.
- Process and track media invoices end-to-end, including three-way matching (PO/IO/invoice) and accurate coding.
- Validate delivery against contracted terms and resolve invoice discrepancies with internal and external partners.
- Maintain complete and audit-ready campaign and vendor records, including naming conventions, retention standards, and centralized repository practices.
- Execute defined media controls on schedule (for example, pre-flight approvals, budget caps, and delivery reconciliation).
- Document control evidence and track exceptions through remediation and closure.
- Serve as the media point of contact for internal audit requests, walkthrough coordination, sample/evidence compilation, and finding remediation tracking.
- Perform monthly spend reconciliations against plan and delivery, and produce vendor spend and variance reporting.
- Escalate operational risks, control gaps, and recurring issues promptly with clear actions and owners.
- Improve processes by updating standard operating procedures (SOPs) and training teams on documentation and control requirements.
- Support governance activities related to brand safety and ad operations processes.
Required Qualifications, Capabilities, and Skills
- Bachelor’s degree in Marketing, Business, or a related field.
- Experience in controls, governance, compliance, risk management, or related operational disciplines.
- Ability to manage vendor and financial workflows with strong attention to detail and follow-through.
- Strong written and verbal communication skills, including the ability to partner across multiple teams.
- Experience using Jira, Confluence, or similar workflow/documentation platforms.
- Ability to work independently and collaboratively in a team environment.
Preferred Qualifications, Capabilities, and Skills
- Experience supporting media operations, marketing operations, or advertising operations.
- Familiarity with purchase orders, insertion orders, and invoice matching/reconciliation practices.
- Experience preparing audit evidence packages and supporting audit walkthroughs.
- Experience improving processes through workflow automation and documentation (SOPs, controls checklists).
- Comfort working with reporting and reconciliation in spreadsheets and/or dashboards.
