Our client, a successful and rapidly growing energy broker, is looking to hire a Team Assistant in a newly created, varied and fast-paced role, where no two days are the same, at their fantastic offices in Chelsea. The role will provide general team support to one of the business’s busiest desks, with a big focus on organising client entertainment and all the administration that goes with it (expenses, invites, booking, etc.), as well as private PA support for two senior Directors.
The successful candidate will need to be well-connected to the London social scene, with knowledge and contacts at the trendiest and most sought-after venues, securing last-minute bookings, and able to handle frequent last-minute changes, for which out-of-hours availability will be required on occasion. This is a high-pressure environment that demands someone who can hit the ground running, with a minimum of 2 years’ experience in an administrative role. The ideal candidate will be highly organised, detail-oriented, a confident communicator, as well as personable, energetic and keen to join a highly sociable work environment.
Based – fully office-based
Start – ASAP
Hours – 9am-5pm (with flexibility required for some out of hours work)
Duties include but are not limited to:
- First point of contact for team
- Schedule meetings, manage diaries and coordinate team calendars, and monitor deadlines
- Organise events and client entertainment, including liaising with venues, suppliers and clients, and managing invitations
- Collating expenses/invoices, preparing expense reports for accounts
- Support travel arrangements, including booking transport and accommodation
- Assist department directors with personal admin and errands
- Meeting/greeting visitors
- Supporting wider firm events and tasks as time permits
