We are looking for a dedicated and conscientious Personal Assistant / Executive Assistant for the CEO of a London based property business, to deliver professional, proactive and confidential support.
This role requires a candidate with a high degree of self-motivation and discipline, who is willing and able to spin many plates simultaneously. This candidate should have high standards with a strong attention to detail. They must be a proactive problem solver and capable of developing innovative solutions to support the CEO and Executive, acting as their ambassador in terms of work ethic, values, standards and support at all times.
This candidate must be able to work effectively under pressure, consistently demonstrating a willingness to exceed expectations; they must have strong written and verbal communication skills, alongside a patient and diplomatic approach when handling complex situations.
Proficiency in spreadsheets, general IT and Microsoft 365 applications, with familiarity using cloud software solutions such as Dropbox and Google Drive is essential. Office-based with WFH potential.
Duties include, but are not limited to:
- Meeting and greeting visitors
- PA and ad hoc duties as required
- Complex diary management
- Scheduling meetings, events, travel arrangements, accommodation etc
- Email & filing management
- Preparation of meeting documents / ensure follow-up completed
- Minute taking
- Maintaining contact database
- Manage CEO’s professional memberships, subscriptions and LLL records
- Coordinating and reconciling expenses
- Invoicing
- Line manage TA / Office Manager
- Assist team on holiday or sickness cover
- Point of contact Health & Safety matters
- H&S Steering Group Meeting material preparation / follow-up
- Obtain site audits / liaise / follow up with project management
- H&S reporting
- Maintain employee policy & handbook
- Managing employee onboarding
- Employee surveys / feedback
- Managing website / social media accounts (including SEO requirements)
- Coordinate the Corporate marketing and PR
