We have a fantastic property sector Team Assistant opportunity to join our lovely B Corp property client with a rich heritage in central London. This Commercial Team Assistant position sits at the heart of their Commercial Asset Management Team, providing administrative and coordination support to the wider team, including the Property Director and the Head of Commercial Property.
This is an excellent opportunity for an experienced Team Assistant who is comfortable operating within a support model that balances the competing needs of several professionals. The successful candidate will be highly organised, able to manage complex, multi-person diaries and logistics, and confident prioritising conflicting demands while working to structured deadlines. Given the sensitive nature of much of the information handled within the team, discretion and a high standard of accuracy and attention to detail are essential.
The ideal candidate will bring strong Microsoft Office skills, excellent verbal and written communication, and a natural aptitude for problem solving and rigorous planning. Based: Hybrid - 3 days in the office, 2 days WFH. Anchor Day Thursday. Hours: Full-time, flexible - with core hours.
Duties include but are not limited to:
- Commercial Team Support
- Organise internal and external meetings, rooms, equipment, catering and preparation/distribution of reports and documents
- Manage team communications (email, telephone, correspondence), ensuring timely / appropriate escalation
- Assist with cyclical portfolio performance reporting
- Coordinate property inspections, and keys for team members, agents, consultants and contractors
- Maintain filing in line with corporate procedures
- Support financial administration, including expenses, invoices and valuations
- Act as main point of contact for external contractors
- Coordinate tenant data for quarterly lease reviews
- Provide data to support external agents and lettings activity
- Provide business-wide cover as required
- Liaise with support functions such as IT, Finance and HR
- Support to 2 Directors
- Manage diaries, workload planning and coordination with other PAs
- Handle telephone, voicemail and email messages when unavailable, redirecting as necessary
- Support Board Papers, internal management meetings and long-term diary planning
- Ensure deadlines are aligned across diaries
