Job Description
We are looking for a well-presented EA with industry experience to support the Co-Founder & President in a successful investment management business. This candidate must be able to hit the ground running from day one, in this 50:50 business / personal assistant maternity cover contract.

The right candidate will be incredibly proactive and able to thrive as part of a close-knit, collaborative team; they should be unflappable and a confident communicator with stakeholders at all levels.

Multi-tasking, prioritising and discretion are key to the role. The successful candidate will act as liaison between leadership and internal teams, as required, therefore needs to be able to collaborate effectively with the wider support team to ensure smooth coordination across the firm.

This candidate must have extensive financial industry experience, be tech-savvy, resourceful, quick to learn, resilient, and degree-educated. This candidate must be flexible and prepared to do what it takes to get the job done, even outside of regular business hours.

Expertise in Microsoft Office, especially PowerPoint, is essential.

Hours – 8:30am-6pm (out of hours as required)

Based – Primarily office-based, hybrid when the Principal is travelling

Duties include but are not limited to:

- Complex diary management, with cross time zone coordination
- Proactive inbox management, action tracking
- Maintain contact database
- Complex travel planning, including visas, itineraries, logistics, and accommodation
- Process business expenses
- Prepare PowerPoint presentations
- Action follow-up and tracking
- Track and renew subscriptions and memberships
- Monitor training compliance requirements
- Meeting room preparation / set up
- Meeting minutes as required
- Personal PA responsibilities as required\\n\\t

- Family travel planning
- Coordinate / track personal tax requirements
- Track and settle personal invoices (subscriptions, wine, vendors, home bills).
- Liaise with household staff and service providers
- Schedule / manage family’s medical appointments, health claims etc
- Plan and coordinate logistics for family events
- Personal family errands
