We are recruiting a maternity cover office-based Executive Assistant for a small, fast-growing property finance business to support the CEO and Office Manager, assisting them in being as productive as possible with their time, and managing the office in an efficient and seamless way. This is a varied and pivotal role that also extends to supporting the wider team as required. The successful candidate will be the first point of contact for key stakeholders, and as such will be expected to embody the brand, always projecting a professional and friendly image.

The ideal candidate will be proactive, highly organised and possess exceptional attention to detail. They will be confident communicating autonomously with a wide range of stakeholders, demonstrate excellent written and verbal communication skills, and bring genuine enthusiasm for delivering outstanding service. A positive, problem-solving mindset and a natural ability to anticipate needs before they arise are essential, as is a passion for supporting others and contributing to a collaborative working environment. A minimum of two years’ experience in a comparable role is required. Fully office-based.

Duties include but are not limited to:

  • Full diary management for the CEO and wider team, including travel, meetings, board packs and action tracking.
  • Legal and compliance administration, including contracts, NDAs, policy sign-offs and regulatory responsibilities.
  • Arrange and coordinate board, committee and internal meetings, including room bookings, refreshments and video conferencing set-up.
  • Act as the key point of contact with building management, reception, IT support and other PAs.
  • Manage office supplies, maintenance, access passes, post, couriers and day-to-day upkeep, ensuring health and safety responsibilities are met.
  • Answer phones, manage inboxes and respond to enquiries on behalf of the team.
  • Onboard and offboard team members, support recruitment administration and maintain HR records, the company handbook and new starter pack.
  • Liaise with the Finance team regarding invoices, bills and HR administration.
  • Organise team socials, celebrations, hospitality and events.
