Overview
We are looking for a polished corporate PA with previous experience in a large or multinational organisation to provide administrative support to a department head. This role takes responsibility for ensuring smooth day-to-day operations, enabling the principal to focus on strategic priorities. The candidate should be forward-thinking, capable of anticipating needs, juggling priorities, and proactively addressing potential challenges independently.
The successful candidate will be a gatekeeper and key liaison, managing communication flow and prioritising tasks with minimal supervision, and must therefore have the experience and diplomacy to interact effectively across a wide range of people and personalities, including external suppliers and third parties, always maintaining discretion and confidentiality. This candidate must be comfortable working flexibly, as they will need to be able to travel when required. Experience working with HNWs / VIPs would be ideal. Excellent written and oral English language skills are a priority, alongside high levels of accuracy and attention to detail. MS Office suite proficiency is critical, and fluency in French/Italian or Spanish would be beneficial, but not essential.

Duties and responsibilities
- Inbox email management, prioritising / organising / responding
- Complex diary management, ensuring alignment across stakeholders / time zones
- Proactive preparation for all meetings
- Act as liaison with senior staff, managing complex communications
- Coordinate with travel team to plan complex logistics
- Attend meetings with principal to capture, document and manage critical actions
- Provide summaries of meeting notes to stakeholders / ensure completion
- Expenses reconciliation
- Prepare accurate PowerPoint presentations, documents and agendas
- Manage logistics & requirements for meetings, events and off-sites
