We’re seeking an Administration Assistant / Receptionist to join our long-standing client, a renowned and inspirational Architecture practice, as an integral part of their business, joining a supportive team – where everyone’s contribution matters.
The successful candidate must be able to communicate confidently with people at all levels, whilst maintaining the high standards and procedures expected. This candidate must be an impressive first point of contact, representing the practice with professionalism and confidence when welcoming visitors and handling calls.
This role requires a proactive self-starter with excellent organisational abilities who thrives under pressure and excels at multitasking.
Strong MS Office proficiency (particularly Word and Excel), and a typing speed of 50 wpm is essential. Experience with InDesign would be beneficial.
Hours – 9am-6pm, 1 hour for lunch
Based – fully office-based
Holiday – 21 days (+ bank hols), increasing up to 25 days
Duties include but are not limited to:
- Front of House & Communications
- Answer all incoming calls and respond efficiently to messages
- Greet all guests upon arrival and ensure they’re offered refreshments
- Manage meeting room bookings / set-up, ensuring spaces are tidy and presentable
- Provide support to Directors, Architects and the Administration Manager
- Manage diaries, expenses and annual leave records
- Handle typing of correspondence and documents as required
- Assist with filing and ad-hoc administrative duties
- Process daily post (opening, stamping, distributing and logging outgoing mail)
- Organise couriers as needed
- Maintain stationery and office supplies
- Ensure office equipment is operating / maintained / repaired as necessary
- Keep the office tidy and well-presented
