JOVELA is a fast-growing eCommerce business specialising in the distribution of high-quality consumer products online. We operate several brands across a wide range of product categories and selling platforms.
We’re a motivated, hard-working team with a drive for success, and we’re looking for a highly organised and proactive Office Administrator to help keep our day-to-day operations running smoothly.
Key Responsibilities
Office Administration
- Manage day-to-day office administration and general office emails.
- Answer incoming calls and handle post and correspondence.
- Order and manage office and warehouse consumables.
- Maintain organised company and building records, documents and filing systems.
- Manage suppliers and service providers, including cleaning, utilities and other office contracts.
- Support the wider team with ad hoc administrative tasks.
- Help organise team activities and company lunches.
HR & Recruitment Administration
- Manage job adverts and assist with reviewing CVs and arranging interviews.
- Support employee onboarding and induction.
- Maintain accurate and confidential employee records.
- Assist with staff documentation and general HR administration.
- Coordinate information between employees, management and the accounts/payroll team.
Logistics & Shipping
- Assist with planning and coordinating inbound and outbound shipments.
- Liaise with local carriers, shipping companies, freight forwarders, warehouses, suppliers and container haulage providers.
- Help coordinate the movement of goods from international suppliers and through the UK and EU.
- Track shipments and proactively follow up on delays or delivery issues.
- Maintain accurate shipping records, delivery notes and logistics documentation.
Customer Service & Returns
- Assist with company wide customer enquiries through calls, emails and messages.
- Manage remote staff activity, learning and teaching the most cost-efficient practices for every scenario
- Oversee customer cases and returns.
- Liaise with carriers and internal teams to resolve delivery, listing, web and order issues
- Handle carrier claims for lost or damaged shipments.
Health & Safety
- Support office and warehouse health & safety administration.
- Maintain health & safety records and documentation.
- Keep systems such as BrightSafe updated.
- Coordinate and document routine fire alarm, emergency lighting and safety checks.
Ideal Candidate
- Previous experience in office administration or a similar operational role.
- Highly organised with excellent attention to detail.
- Confident managing multiple tasks and priorities.
- Strong written and verbal communication skills.
- Good Microsoft Suite skills
- Comfortable communicating with suppliers, carriers, employees and customers.
- Proactive and able to identify and resolve problems independently.
- Reliable, professional and comfortable taking ownership of responsibilities.
- Able to work effectively across different departments in a fast-moving business.
Experience with HR administration, customer service, logistics,health & safety or eCommerce operations would be an advantage, but training can be provided.
