About the Role

We're looking for an Assistant Producer: Media Production & Immersive Film to join our project teams and provide fundamental support across a range of tasks and responsibilities that enables the teams’ work to be more effective and leads to our ambitious design projects to be realised. This role will suit someone with previous professional experience as an Assistant Producer, Co-ordinator, Runner, Administrator or Project Manager who is interested in supporting full teams with a high level of detail and reliability. To manage expectations, this is not an entry level position. This particular Assistant Producer opportunity will work across the Media Production and Immersive Film area of Journey's design portfolio, and while we're open to applications from people without direct experience in these fields, we would like to have a clear understanding how your experience will transfer as part of your cover letter.

Key Responsibilities

  • Producing
    • Scheduling project meetings, supporting the Producers with diary management and taking minutes when required.
    • Travel and accommodation booking for all team travel.
    • Processing of relevant visas for project teams in all territories.
    • Creating and distributing schedules and itineraries as required including tour and travel packs.
    • Assisting Producers on projects as required including attending on-site during tech periods as necessary.
    • Updating various databases with clear and correct data, for company wide use and business critical decision making.
    • Putting together the essential information for the creation of tenders and pitches.
    • Availability checking & requesting contract information for technical and production freelancers for required roles on projects (e.g. programmers, lighting designers, sound designers etc.).
    • Assistance in third party licensing.
    • Assisting with the organisation of shoots for both content creation and behind the scenes filming as required.
    • Project related research for the project team as required.
    • Working with the Producers to ensure sustainability and the reduction of Journey's carbon footprint is a priority on projects.
    • Working with the Producers to ensure considerations for our designs to be accessed by the widest possible audiences is a priority on projects.
  • Communications
    • Working with the Marketing & Communications department to upload new project pages to the company website and social media.
    • Assisting the Producers with final project documentation for both external and internal use.
  • General
    • Deputising for the Producers and Project Managers as required.
    • Provide basic catering for meetings as required.
    • Any further general or administrative tasks reasonably requested.
    • Acting as one of the company’s health & safety and Fire Warden representatives as required.

Candidate Qualifications & Skills:

Required

  • Approximately 1 year experience as an administrator, runner, coordinator, project manager or producer.
  • Ability to interact with a wide range of people and excellent interpersonal skills.
  • Experience working in a fast-based environment and ability to work under pressure and to tight deadlines.
  • An aptitude and/or understanding of creative processes and projects, and specialist craft.
  • An interest in working to the highest possible standards.
  • Knowledge of or interest in producing in different industries and geographical territories.
  • Experience in budgeting and effective budget management.
  • An interest in and willingness to travel globally.
  • A willingness to work during the hours of our industries for example on weekends and evenings as required (Journey operates a Time Off in Lieu policy).
  • A commitment to championing representation and inclusion at every level.

Desirable

  • Experience in sales of projects and negotiating with a range of clients.
  • Language skills.
  • An existing network of relationships with commissioning organisations and potential clients.

Contract: This is a permanent contract in our London team.

Location: This role is based within our London Studios. We value regular in-person collaboration because we think it leads to the best creative work however hybrid working is available around project commitments.
