The Role
The Property Manager is responsible for overseeing and managing the operations of all assets within a retail-focused portfolio, including complex and high-value properties. The role aims to protect the value of the landlord’s investment through proactive property management and by ensuring tenant obligations under leases are fulfilled.
Key Responsibilities
- Manage the day-to-day property operations for a portfolio of commercial investment assets.
- Conduct inspections and advise the wider asset team on property conditions and required works, ensuring schemes are well-maintained and presented to a high standard.
- Oversee and manage the landlord-tenant relationship.
- Lead lease event management, including tenant introductions, breach resolutions, and end-of-lease procedures.
- Resolve disputes and provide guidance on lease breaches and remedies.
- Process tenant applications for assignments, sublettings, and alterations.
- Support lease interpretation and provide recommendations.
- Supervise facilities management activities carried out by on-site Centre Management and the Regional Facilities Team.
- Collaborate with Credit Control to ensure recovery of rent and service charge arrears and reconcile account queries.
- Assist with the preparation of annual service charge budgets and explanatory notes for tenants.
- Support the production of end-of-year service charge expenditure statements and address tenant queries.
- Implement approved service charge budgets in collaboration with Centre Management and the Regional Facilities Team.
- Respond to tenant management queries.
- Contribute to the preparation and execution of Planned Preventative Maintenance (PPM), repairs, and maintenance.
- Ensure statutory compliance and maintain on-site records.
- Review and implement actions from Health & Safety and Building & Engineering Insurance Reports.
- Manage void premises inspections and ensure they are safe and well-maintained.
- Assist in progressing property and public liability insurance claims.
- Work with the team to prepare vacant units (“White Box”) for re-letting.
- Build relationships with adjacent property owners and local authorities.
- Oversee contract tendering processes for service providers to ensure value for money.
- Support Asset Managers with service charge queries and strategy implementation.
- Manage special projects as required.
- Maintain accurate property and tenant data within property management systems.
- Assist with due diligence for new acquisitions and support onboarding/disposal processes.
- Recommend ESG (Environmental, Social, and Governance) initiatives to the Asset Management team.
Person Specification
- Excellent communication and interpersonal skills
- Strong leadership and organisational capabilities
- Ability to manage and prioritise a diverse workload
- Competence in presenting clear and concise advice
Qualifications / Training
- MRICS or Assoc RICS qualification is desirable
- Familiarity with industry software platforms such as Qube, Horizon, and Coyote
